Proposal and Marketing Coordinator

Position Summary
The Proposal and Marketing Coordinator supports, leads, and facilitates all documents associated with the sales process, including responses to formal Request for Information and Request for Proposals from potential clients, unsolicited proposals, presentations, and other sales-related materials. This includes managing the strategic and tactical elements of the writing process, managing multiple projects including proposal and presentation materials, and staying current with industry strategic objectives and trends. The Proposal Coordinator will be an integral part of the account management team, assisting in the proposal and presentation development, document, content strategy, design, layout, and final delivery.

The Proposal and Marketing Coordinator is capable of clearly and concisely articulating the solutions, value, and benefits to the client organization.

Proposal Coordinator Accountability

  • Lead proposal team assignments and initial proposal management plan.
  • Provide regular updates to management, operations, and support staff regarding the proposal process.
  • Develop and manage master RFI and proposal schedules, proposal milestone events (kickoff meetings, tag-up calls, technical reviews, etc.), proposal checklists, roles and responsibilities, and guided proposal development activities.
  • Review and edit integrated proposal content to ensure compliance to solicitation requirements, evaluation criteria, and technical requirements.
  • Maintain and improve the library of reusable templates, past performances, staff resumes, and procedures and processes.
  • Oversee the proposal team, coordinating efforts and ensuring all timelines are met.
  • Ensure the quality and compliance of final proposal documents.
  • Contribute to assigned process improvement initiatives and support implementation.
  • Coordinate development of pricing sections with the executive team as appropriate.
  • Review and analyze RFP documents to ensure adequate information for budget and proposal preparation is provided.
  • Ensure the control of the bid and proposal costs for the assigned bids.
  • Provide input to other cross-functional departments pertaining to prospect requests.
  • Develop and share best practices with team members to enhance the quality and efficiency.
  • Ensure that the proposal is free of grammar, spelling, and typographical errors.
  • Preparation of high quality and accurate documents in accordance with agreed strategy and sponsor. expectations under the pressure of changing timelines.
  • Help improve the organization of the company's centralized Proposal Library repository.
  • Run the Proposal Center managing incoming and outgoing proposal related workflow.
  • Develop Proposal outlines, Proposal Workbook, Color Team Reviews, schedules, and
  • Responsible for ensuring all proposals meeting deadlines and schedule.
Marketing Coordinator Accountability
  • Support marketing activities which include website updates, ad-hoc marketing projects, keeping marketing and capability briefings up date and curating ad-hoc briefing materials for the account management team.
  • Support marketing communication to include all Social Media accounts (Linked-IN, Twitter).
  • Help strategize and execute marketing campaigns as directed.
Other Duties
  • Support Capture team in helping to organize the Pipeline and related pipeline tools
  • Support Account team in developing Capture Briefings
Requirements:
  • 5 Year's of applicable proposal experience
  • Bachelor’s degree, preferably in Marketing, Communications, English or Journalism
  • Graphics development experience
  • Detailed oriented
  • Must be an excellent writer with the ability to craft clear and compelling content;
  • Must have strong knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint,);
  • Must be production and detailed oriented with strong project management skills;
  • Technical writing/editing skills;
  • Must be a strong team player with the ability to work independently;
  • Must possess strong organizational and time management skills to meet hard deadlines under pressure;
  • Highly motivated, with strong desire to learn.
